Protection of personal data

The Milan Vidmar Electric Power Research Institute (EIMV) is aware of the importance of the protection of personal data, therefore, we manage your data in accordance with the regulations on personal data protection.

In accordance with the new Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) and the Personal Data Protection Act (ZVOP-1), EIMV as personal data processor must send individuals information upon their request about which personal data are processed, and inform them on all relevant data that provide information.

Personal data on the website

On its website, EIMV collects personal data which are submitted by the user voluntarily via an online form that is intended exclusively for a simplified business communication with target users.

Personal data, collected on the website comprise:

  • Official e-mail

The purpose of data collection on EIMV website from the online form is commercial, meaning that you agree with the purpose of sending of a question or inquiry for further communication and that we keep your personal data in our database on the basis of our legitimate interest. In this case, EIMV processes and stores your data with the purpose of further cooperation and business communication.

The processor does not take responsibility for legitimacy and accuracy of personal data and that they are up to date, as well as of contact data sent by the user. As the website user you are obliged to ensure the accuracy and validity of all data sent via the website.

The www.eimv.si website can also contain links to third parties and/or contain information about third persons. Since some links connect you to sources via servers maintained by third parties, over which EIMV has no control, we cannot guarantee nor receive or send complaints with regard to the accuracy of any website, which you accessed via a link or reference on our website.

Consent

We process personal data that you send us when filling out the form on our website, i.e. with your clear and unambiguous consent that bases on Article 6(1) (a) of the General Data Protection Regulation (GDPR).

You can withdraw your consent any time in written form via ordinary post or via info@eimv.si. If you withdraw your consent, we will discontinue using your personal data for purposes as determined in the previous section. Any potential withdrawal of your consent does not impact the legality of processing your personal data at the time when the withdrawal was made.

Duration of personal data retention

Data, collected by the website operator, are kept for the needs of the website operator in accordance with the conditions and purposes determined in this privacy policy. Personal data are kept on the website and for further consideration and communication with users in other company databases.

EIMV can process the aforementioned data for own purposes until the revocation of consent with the requirement to eliminate personal data from the database or for the period necessary to achieve the purpose of data collection.

Your rights

In accordance with the provisions of the current and valid law and the General Data Protection Regulation you have the right of access, the right to review your personal data, the right to rectification, the right to erasure (the right to be forgotten), the right to portability, the right to demand the limitation of personal data processing and the right to object.

About the video surveillance operator

The video surveillance operator is Elektroinštitut Milan Vidmar (EIMV), Hajdrihova ulica 2, 1000 Ljubljana, company registration number 5056462000.

Implementation of video surveillance and where to get more information

In accordance with the new Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) and the Personal Data Protection Act (ZVOP-2), the EIMV carries out video surveillance for the purpose of protecting people and property, and this purpose cannot be achieved by less intrusive means. Video surveillance is also used to monitor entry/exit to and from the EIMV premises or the EIMV office building, as well as movements in EIMV-owned car parks.

Locations where video surveillance is carried out are marked with a notice. The notice to Individuals is drafted in accordance with Article 13 of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (General Data Protection Regulation or GDPR) with regard to the processing of personal data in the records of data on the implementation of video surveillance, and Article 76 of the Personal Data Protection Act (Official Gazette of the Republic of Slovenia, No. 163/22, hereinafter referred to as ZVOP-2).

Legal basis for video surveillance and processing of personal data

The legal basis for video surveillance and the processing of personal data are point 6 of paragraph 1 of Article 6 of the General Data Protection Regulation (GDPR) and Article 76 of the ZVOP-2.

What types of personal data do we collect and process?

The EIMV keeps a record of the use of the video surveillance system, which shows the types of personal data (recordings of the system) and the purposes for which they are processed.

The video surveillance personal data file contains:

  • a recording of an individual (image),
  • location data,
  • the date and time of the recording.

The historical recordings of the video surveillance system may be accessed only by a decision of the director, i.e. by the responsible person, who shall export the recording, and the recordings shall be reviewed by a three-member commission appointed by a decision of the director of the EIMV.

The processing of personal data is not based on the consent of the data subject. It is not possible to enter EIMV's facilities in such a way to avoid video surveillance.

Unusual further processing of personal data

Video surveillance allows you to monitor live events without audio intervention.

The EIMV does not share video surveillance footage with third countries or international organisations.

The EIMV does not disclose personal data obtained by the video surveillance system to third parties (competent state institutions) if the obligation to disclose is imposed by law.

Who are the users of your personal data collected by the video surveillance system?

The personal data obtained by EIMV through the video surveillance system shall be used by EIMV employees and contractual partners in the field of ensuring the security of persons and property, in accordance with the legislation in force at the time in the field of the protection of personal data and the legislation in the field of private security. Access to data is restricted to employees with appropriate authorisations and access rights. The contractual partner in the area of security of persons and property shall not have access to the recordings.

Each access to or use of video surveillance footage is recorded in an access (use) register, which shows which data have been processed, when and how they were used, to whom they were communicated, who carried out the processing operations, when and for what purpose, or the legal basis of the access or treatment. An audit trail is provided for any access to or use of the recordings.

How long do we keep your personal data collected by the video surveillance system?

Video surveillance recordings are deleted after one month of their creation.

Recordings of security events and incidents shall be kept for a maximum of one year for the purposes of the investigation of the event/incident.
